Privacy
What we collect, why, and what we never do with it.
01. Who we are
Studio Sensei is studio-management software operated by [Legal entity name], registered at [registered address]. For the studio data you put into the product, you are the data controller and we are your processor. For your own account with us — name, email, billing and support history — we are the controller. Questions, requests or complaints go to [privacy@studiosensei.ai]; a person answers.

03. How AI uses your data
Sensei reads your studio's own configuration and activity to draft a proposal — a message, a schedule change, a promotion — which waits for a human to approve it. Approval triggers deterministic code, not a model, and the action is logged with who approved it. You can browse what Sensei holds about your studio and delete anything in it. We do not train shared or third-party models on your studio data, and it is never used to improve a model that serves another studio.
05. Members, students and staff
Roles mask at the field level by default, scoped per location: front-desk staff can take a payment without seeing clinical or personal notes, and financial fields are hidden from roles that don't need them. Goal and wellbeing data belongs to the student who wrote it — visible to them, never used to build a marketing segment, and there is no setting that changes that.
06. How long we keep it, and your rights
Studio data stays while your account is active. When you close it, we delete or irreversibly anonymise within [retention period pending], except records we are legally required to keep, such as invoices and tax records; backups roll off within [backup window pending].
You can ask for a copy of your data, correct it, delete it, restrict or object to a use, or take it elsewhere — and export is a product feature, not a favour. We answer requests within one month. If we get it wrong you can complain to your local data-protection authority; we'd rather you told us first so we can fix it.

07. The agreement, and what early access means
These terms are between you — the studio using Studio Sensei — and [Legal entity name]. Using the product means you accept them; if you're accepting on behalf of a studio, you're confirming you're allowed to.
Early access is free for its whole duration — not a trial with a card on file at the end. There is no card, so there is nothing to cancel, and nothing here obliges you to become a paying customer. In return, some capabilities are built and demoable rather than proven at scale; those are badged wherever they appear on this site. We may change or remove early-access capabilities as we learn and will tell you when we do, and we aim to give [notice period pending] before ending early access or introducing a charge.
08. Your account and your people
You're responsible for who you give access to and what they do with it — roles exist so you can grant less. You'll keep your account details accurate, tell us promptly if you think access has been compromised, and use the product for a lawful business.
09. Your data stays yours
You own your studio data. We hold it to run the service for you, as described in Part one, and we don't sell it or use it to train shared models. Export is a product feature: full export, whenever you want it, without a support ticket or a fee. If you close your account we delete or anonymise on the schedule above.
10. How Sensei operates
Sensei drafts. You decide. A proposal is written in plain language, and approval by a human with the right role is what causes anything to happen; execution is deterministic code, and every action is logged. An agent can earn the right to auto-run routine work on a record you can inspect and revoke, and high-risk moves always come back for approval. You remain responsible for the moves you approve, including the content of messages sent to your members.
11. Payments and money
Where you take payments through the product, your studio is the merchant of record and Stripe is the processor; their fees and terms apply to those transactions, and card data goes to Stripe rather than to us. Refunds, cancellations and no-show policies are yours to set and yours to honor — the product applies and records them consistently; it doesn't decide them for you.
12. Availability, support and who owns what
We aim for the service to be there when your first class is. During early access we don't offer a contractual uptime guarantee — what you get instead is a direct line to the people who can fix it. Planned maintenance is announced in advance where we can.
We own the software, the brand and the design; you own your studio's content and data. Neither of us gets rights in the other's material beyond what's needed to run the service. If you send us feedback we may act on it without owing you anything for it, and it never gives us any claim over your data.
13. Liability, honestly
The product is provided as-is during early access. To the extent the law allows, our liability is capped at [liability cap pending], and we're not liable for lost profit, lost goodwill or indirect loss. Nothing here limits liability for anything that can't lawfully be limited — including fraud, death or personal injury caused by negligence, and your statutory rights.
14. Ending it, and changes to this page
You can stop whenever you like: export your data and close the account. No exit interview, no retention call, no fee. We may suspend or end access if the product is used unlawfully, to abuse other people, or in a way that threatens the service for other studios — with notice wherever it's safe to give it. Governed by the law of [governing law pending].
When something material changes in either part of this page we'll say what changed and when, in the product and by email, before it takes effect — not with a silent new date at the top. The version and date shown here are always current.
